Don't wait until the end of the month to claim your vaccination services via the PPA. 

 

GuildCare suggests claiming these weekly to ensure any rejections are resolved quickly and efficiently. 

 

Take a look at the top rejections and how to fix below:

 

PPA Rejection Notice:  

No first dose claimed for this Medicare/DVA number under this Service Provider.  Please correct vaccination dose type.

 

Reason:

  • PPA is indicating that they have not received the first dose payment request from you for this patient data
  • PPA is matching on Medicare number.  If both doses do not have the same Medicare number you will receive this rejection.


How to fix:

  • Manually claim via PPA portal
  • Ensure both services have the same Medicare number

PPA Rejection Notice:

Medicare or DVA number is invalid

 

Reason:

  • Rejection is due to the Medicare number being incorrect
  • Format should be 11 numbers with no spaces


How to fix:

  • Open case, scroll down to AIR info section
  • Click on Edit/Amend Medicare number and submit
  • Click on update within case 
  • Click submit


PPA Rejection Notice:

First dose has already been claimed for this Medicare/DVA number

 

Reason:

With this rejection, our software is reporting the wrong message.

 

How to fix:

  • Check to see if there is a claim date attached.  If so, this has been paid
  • Check PPA to ensure it is claimed


PPA Rejection Notice:

Patient given name is required or patient family name is required

 

Reason:

The patient details within their profile in GuildCare could be incorrect

 

How to fix:

  • Check patient profile details within the GuildCare platform
  • Identify any incorrect information (eg, First Name: Sue M)
  • Remove the incorrect information (eg, M) 
  • Go to service > edit service > click update 
  • Go back and try to process the claim again - if you receive a further rejection then please process the claim manually.
